Tee Time Rules (TTR) – The Rules of Golf Query Platform ("Tee Time Rules", "TTR", "we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our services. By using TTR, you agree to the terms of this Privacy Policy. We aim to comply with the laws of India, Australia, the United States (including California), the European Union, the United Kingdom, and other applicable jurisdictions regarding privacy and data protection.
1. The Information We Collect
We may collect and process the following types of personal information:
Identity Data: Name, email address, phone number, profile picture.
Contact Data: Email address and phone number.
Technical and Usage Data: Device type, browser, IP address, login data, session statistics, page views, feature usage, error logs, and cookies.
Profile and Interaction Data: Username, user role (e.g., referee, admin), Queries (including the text of your queries, voice inputs, and submitted images), comments, endorsements, chat messages, and any other content or interactions you provide on the platform.
Notification Data: If you opt in, your device/browser notification token.
Authentication Data: Login credentials (securely stored), authentication provider (Google and email).
Location Data: Only if you explicitly allow it, typically derived from IP address for security and analytics purposes, or more precise location if you grant permission (though we don't require or primarily use precise location).
Sensitive Information: We do not intentionally collect sensitive personal data (such as health, race, political views). If you voluntarily include such information in your queries, comments, or other User Content, you consent to our processing of that data for the purpose of providing our services.
2. Why We Collect and How We Use This Data
We collect, hold, use, and disclose your personal information for the following purposes:
- To provide, operate, maintain, and improve TTR's services and features.
- To authenticate users and manage accounts.
- To enable you to submit queries in various formats (text, voice, image), interact with AI and referees, and participate in discussions and community features.
- To process multimodal queries: Voice inputs are transcribed into text via third-party services (e.g., Deepgram) to enable AI and referee processing. Submitted images are analyzed for context relevant to your query.
- To send you notifications (if you opt in).
- To analyze usage and improve user experience, platform performance, and service offerings (using analytics tools).
- To ensure platform security, prevent abuse, detect fraudulent activity, and comply with legal obligations.
AI Training: We may use User Content (including queries, chat messages), typically in an anonymized or aggregated form where possible, to further train and improve our AI models and the platform's features. Specifically, voice recording will never be stored and used to enhance our AI models. We will never use your name, email, or other directly identifying information for this purpose in a way that identifies you personally to the AI models during training.
- To communicate with you about your account, provide customer support, and send platform updates or important notices.
- To comply with our legal obligations or as otherwise required or authorized by law.
3. Our Disclosures of Personal Information to Third Parties
We do NOT sell your personal information. We only disclose your data to third parties as follows:
Service Providers: We share information with third-party vendors and service providers who perform services on our behalf, such as hosting (e.g., Vercel), database services (e.g., Firebase Firestore), authentication (e.g., Firebase Auth, Google Authentication), AI model providers (e.g., Google/OpenAI for NLP), vector search (e.g., Pinecone), voice transcription (e.g., Deepgram), and analytics (e.g., Firebase Analytics). These third parties are obligated to protect your data.
Referees and Admins: Your queries, chat messages, and related User Content may be accessible to designated Referees and Administrators on the platform for the purpose of providing answers, moderation, and support.
Legal Authorities: If required by law, regulation, legal process, or governmental request, or to protect our rights, property, or safety, and the rights, property, or safety of our users or the public.
Business Transfers: In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your data may be transferred as part of that transaction, subject to this Privacy Policy.
Analytics Providers: For the purpose of understanding and improving our services (as mentioned in Section 5), but never for advertising, profiling individual users for external purposes, or resale.
We require all third parties to respect the security of your personal information and to treat it in accordance with the law and our instructions.
4. Sensitive Information
We do not intentionally collect sensitive personal information. If you voluntarily provide sensitive data (e.g., in a query, comment, or image), you consent to our processing of that data for the purpose of providing the service you requested (e.g., answering a query that contains sensitive information). We will not use sensitive data for marketing or analytics purposes without your explicit consent.
5. Analytics
- We use analytics tools like Firebase Analytics to track aggregate usage patterns (e.g., sign-ins, query volume, feature usage).
- Analytics data is primarily processed in an anonymized or aggregated form and used only to monitor platform health and improve TTR.
- We do NOT use analytics for targeted advertising, creating profiles of individual users for external purposes, or cross-site tracking for advertising.
- You may have options to opt out of certain analytics tracking through your browser settings or platform controls where technically feasible.
6. Your Rights and Choices
Depending on your location and applicable laws (such as GDPR, CCPA), you may have the following rights regarding your personal information:
Access and Correction: You may access, update, or correct your personal information by managing your account settings or by contacting us.
Deletion: You may request deletion of your account and associated personal information at any time by contacting us. Note that some data may be retained for legal compliance or internal business purposes in accordance with Section 8.
Opt-Out: You may opt out of receiving non-essential notifications and certain analytics tracking (where technically feasible).
Data Portability: Where required by law, you may request a copy of your data in a structured, commonly used, and machine-readable format.
California Residents: You have additional rights under the CCPA, including the right to know, delete, and opt out of the sale of your personal information (we do not sell your data).
EU/UK Residents: You have rights under the GDPR, including the rights of access, rectification, erasure ('right to be forgotten'), restriction of processing, objection to processing, and data portability. You also have the right to lodge a complaint with a supervisory authority.

8. Data Retention
- We retain your personal information for as long as your account is active or as needed to provide you with services.
- We may retain certain information even after you close your account if necessary to comply with our legal obligations, resolve disputes, or enforce our agreements.
- You may request deletion of your account and associated data at any time, subject to our retention obligations.
9. International Transfers
Your personal information may be stored or processed in countries outside of your own, including in the United States (where some service providers may be located).
When transferring your data internationally, we will ensure that appropriate safeguards are in place to protect your data in accordance with applicable laws, such as relying on standard contractual clauses or other legally approved mechanisms.

TTR is not intended for children under 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal information from a child under 16 without parental consent, we will take steps to delete that information.

- We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements.
- We will notify you of any material changes by posting the new Privacy Policy on the platform or through other reasonable means.
- Your continued use of the platform after the effective date of the revised Privacy Policy constitutes your acceptance of the revised terms.
